Terms And Conditions

 

BOOKINGS are not available to persons under the age of 25yrs and or to young same sex groups.  A booking, although may be reserved for 7 days upon receipt of a holiday request, will only be confirmed once the deposit is paid in full and only on the condition you have read, understood and agree to our terms & conditions.  The full cost of the holiday booking plus the £75 refundable damages deposit is required at no later than 8 weeks before holiday commencement. No changes can be made to the booking form either by additions or different guests once full payment has been received and forms posted out, if changes are made after that time a £25 admin fee will be payable. Only the persons on the booking form to use or occupy the caravan at any given time, deposits will be forfeited if extra persons not on the booking form are allowed to occupy or use any of the facilities inside our caravan. Once bookings are made if deposits, signed terms and conditions slip or balance payments are not received within 7 days of the dates due then we reserve the right to re-let the caravan without further reminders.

 

DEPOSITS/REFUNDS are required in full and work as follows:  A non refundable £50 or 15% deposit (whichever is greater) is required to secure a break. We also require a £75 refundable damages deposit cheque (which is not cashed) which will be returned within 14 days of the caravan being vacated, keys returned and the caravan checked for damage, missing items and excessive cleaning.  If holidays are cancelled 6 weeks before commencement 80% of holiday cost will be payable to us and if cancellations are 4 weeks and under of holiday commencement no refund will be available for cancelled holidays. We have not yet had to withhold any damage deposits as we do understand that wear and tear etc does occur but all breakages etc must be rectified or paid for before vacating the caravan or will be taken out of your deposit and we reserve the right to do this automatically. Our caravans are family owned ones in which we take our own holidays in and we would like them treated with the respect and care that they deserve.  We thank you for your consideration in this matter. Any damage or problems must be reported at the commencement of the holiday otherwise you may be held responsible for such damage. All problems or damage must be reported before guests leave the caravan once guests have vacated it is too late to rectify problems or issue any refunds etc.

 

PRICES     Prices are based on up to 8 people sharing at any one time (Maximum of 6 adults). and solely on a self catering basis and do not include soaps, towels bed linen etc but do include pillows, quilts, domestic services ie: gas, electric, water, etc and also include free Butlins passes for fair rides, water world etc and daytime and evening shows etc. as advertised when booking made, however Butlins occasionally vary facilities and entertainment of which we have no control over. Tickets are extra for Arena Events, Spring Harvest, Elim Bible Conferences, Harley Davidson HOGS events and can be purchased separately from Butlins Holiday Shop or the Hotline Number or through ourselves with full payment upfront.

 

ADULT BREAKS:  All over 18’s breaks will require a £100 non refundable deposit to secure the break, we also require a £100 refundable damages deposit / bond, which will be returned once the keys have been returned and the caravan checked for damage, missing items and excessive cleaning.  Group sizes will not exceed 6 persons, being of a mixed gender group and over 25yrs.  We reserve the right to cancel any booking made if we feel our terms and conditions have not been met regarding these adult weekend bookings. No changes can be made to booking details once full payment has been received. Only the original guests booked will be able to go. Children are able to stay on the Caravan Park during these breaks but facilities are closed.

 

SMOKING:  We operate a no smoking policy within our caravans.  Any extra costs involved with the defumigation of the caravan or the clearing of cigarette ends from the vicinity of the caravan will be deemed as excessive cleaning and will attract a charge that will be deducted from any returnable deposit. Please do not leave cigarette ends outside the caravan area. No Smoking out of windows/open doorways.

 

PETS: We operate a no pets policy within our caravans.  Any extra costs involved with the defumigation of the caravan or the clearing of pet hair from the caravan will be deemed as excessive cleaning and will attract a charge that will be deducted from any returnable deposit.

 

BUTLINS:  We have no control over Butlins policies and procedures and would advise any holiday makers to follow the park rules or face being removed from the site, they do have a strict no noise or music after 11pm rule, drugs use or general rowdy behaviour and ball games in undesignated areas. If guests are removed from the site by security no refunds will be given.

 

ARRIVAL TIMES:  Early arrival at Butlins is welcomed and Butlins passes should be available for you to use on site but please bear in mind, the caravan is cleaned between every rental and may not be available for your use until 16:00 and keys are now collected from Customer Services on the Main Entrance. Please advise us of any damage or missing items at the beginning of your break so things can be rectified during your stay and not after you have departed from the caravan.

 

KEYS:  Caravan keys and welcome pack are collected from Customer Services at the Main Entrance by prior arrangement with us.  On day of departure keys must be returned to the Security Hut on the EAST GATE Caravan Park entrance.  If you lose your keys or they are not returned when departing, a call out charge for spare keys to be issued will be made and taken from your damages bond of £75.00.

PARKING ARRANGEMENTS: The caravan does have its own designated numbered parking bay for one vehicle only.  If using more than one vehicle it can be unloaded at the caravan but must then be parked for the duration of your stay at the east gate car park.  Butlins do not allow Vans, Motorbikes or Touring Caravans to park on the caravan site at any time and will not be allowed through Security.  Please contact Butlins Centre for any clarification.  No parking must be made on the grassed areas at any time. No vehicles exceeding the length of 6ms in length will be permitted on the Caravan Park and must be parked at the East Gate.

 

FACILITIES FOR DISABLED:  Although parking is very close by, you cannot park outside the caravan door itself.  We do not have a ramp to get into the caravan only steps although a safety hand rail is present on both of the entrances.  We do not have safety rails or bars inside the caravan or in the bathroom. If guests booking do have disabilities, please advise beforehand to check the caravan is safe for them. The Butlins Site and Caravan Park is very flat and is suitable for wheelchair/scooter access.
 
CARAVAN USE:  If there are any plumbing, electrical or use problems please contact us and we will arrange for park maintenance to attend, if no contact can be made to us, contact should be made to Jill on 07595 654637 (office hours only) who is in charge of the Caravan Park on or through Butlins 01643 705264 / 01643 700514 or 01643 703331. Please leave messages and wait for a call back if not answered immediately. FIRST POINT OF CALL IF POSSIBLE SHOULD BE TO OURSELVES UNLESS THERE IS A FIRE OR AN EMEGENCY. Any problems occurring must be reported to us before the end of the break so any problems can be rectified whilst you are there and somebody can assist you at the caravan. 

 

DAMAGE TO CARAVAN: The hirer is responsible for all memebers of the party and must make good any losses, breakages or damage to the caravans or its contents during their stay. Upon receipt of the keys to your caravan, we would advise that you check and advise any damage (wear & tear excluded) that may have been missed to us as soon as possible, this will avoid you being charged for it on your departure.  Accidents do happen and any damage caused during your stay should be reported to us as soon as possible.
If young children are using crayons and or colouring pens please could they be supervised as these marks are completely indelible and we will start making a charge if we find they are continuing to occur. Please also no painting from children in the caravan and no jumping on the sofas or beds especially with shoes. If using nail varnish please use with extreme care and no hair colourants to be used either due to permanent staining on carpets and sanitary ware.
All shoes to be removed when entering the caravan especially muddy or HIGH HEELED STILETTOE shoes and children’s shoes to keep the flooring, carpets and upholstery clean and damage free. If the carpets are left excessively dirty, a charge of £30 will be taken from your deposit without further notice to have the carpets cleaned. Also please no football or ball games to be played inside the caravan. Please do not bring or wheel pushchairs inside the caravan at any time.  Children must be supervised and not left alone in the caravan to adhere to Butlins Park Rules and no more than 8 persons in the caravan at any time only persons on the booking form are allowed to occupy or enter the caravan at any time due to insurance cover. Any damage or problems must be reported at the commencement of the holiday otherwise you may be held responsible for such damage. All problems or damage must be reported before guests leave the caravan once guests have vacated it is too late to rectify problems or issue any refunds etc.

BEDDING:  Duvet and pillows are provided but you must bring your own sheets, duvet covers, pillowcases & towels with you.  Mattress, duvet & pillow protectors must not be removed.  If children are “not dry at night” please bring appropriate waterproof coverings and if an accident has occurred please contact us to advise and rectify the situation, do not leave the bed wet or stained or a charge will be made for this. Please do not swap duvets from other caravans or ones you have brought down with you. I do cover the quilts and pillows with my own covers and protectors for hygiene but YOUR OWN must be put on top they are not for sleeping in without covering first as they are not changed.

 

OUTSIDE ROTARY LINE & PICNIC TABLE:  Due to Park Site Rules the Rotary Line must be closed when not in use with cover replaced. Please do not remove the picnic table from the patio area or lend to neighbouring caravans. Please also remove any rubbish or disposal BBQ's etc from the vicinity of the caravan and patio.

 

ACCIDENT & SICKNESS:   Minehead does have a Hospital in the Town Centre.  If you need a Doctor please call the Butlins Centre itself 01643 703331.  If sickness or diarrhoea or any type of spillage or stains have occurred on the sofas, carpets or beds, please contact the Customer Services – quoting which caravan you are in, or alternatively phone us on 01604 754755, 07534 333360 or 07534 333361 to arrange cleaning or advice. If small marks please use carpet cleaner under the sink.

 

DEPARTURE: Upon departure, it is requested that you vacate the caravan by 10:00am removing any rubbish, emptying bins, washing up and putting away any pots pans and cutlery used during your stay, emptying fridge, cleaning cooker and microwave if you have used these.  This will greatly aid our cleaning staff in the preparation of the caravan for its next booking as they are not responsible to clear up after you only to hoover and dust and clean the bathroom. THE ROTARY LINE MUST BE CLOSED DOWN AND THE COVER REPLACED DUE TO PARK SITE RULES. Please do not move the picnic table from the patio area. Keys to be returned to East Gate Security Hut.

 

HOLIDAY INSURANCE: We will not accept any liability for any loss or damage to personal items.  We do not provide any holiday insurance for guests whilst on holiday and would advise that any insurance requirements be made before arriving on site.

 

CANCELLATIONS:   We reserve the right to cancel a holiday reservation at any time if we feel our terms and conditions have not been met or the booking is not compatible for the caravan, by which any monies paid will be forfeited or deposits refunded in full or in extreme circumstances beyond our control by which a full refund of any monies paid to us relating to the holiday will be refunded immediately if your holiday booking is cancelled and we cannot find alternative accommodation.
